4. Our lawful bases for using your information

Data protection law requires us to have a lawful basis for processing personal information. Depending on the circumstances, Scotland Stock may rely on the following:

Contract

We use information where it is necessary to process and fulfil a purchase or provide services requested by you.

This includes processing orders, providing downloads, administering licences and providing customer support relating to a purchase.

Legal obligation

We may process and retain information where necessary to comply with legal, tax, accounting or regulatory obligations.

Legitimate interests

We may use information where it is reasonably necessary for legitimate business purposes, such as maintaining the security of the website, preventing fraud or misuse, maintaining appropriate business records and responding to disputes.

Where we rely on legitimate interests, we consider whether the processing is necessary and proportionate and whether it would reasonably be expected by the individual.

Scotland Stock does not sell customer information.

We may share information with service providers where this is necessary to operate Scotland Stock and provide the services described above.

Stripe processes payment and transaction information when you purchase footage.

Website and service providers

We may use third-party providers to host and operate the Scotland Stock website and associated services. These providers may process limited technical or personal information where necessary to provide those services.

Email service providers

Transactional emails, such as purchase confirmations, download information and customer support communications, may be delivered using a third-party email service operating on behalf of Scotland Stock.

The specific email provider may change over time.

We may also disclose information where necessary to comply with legal obligations, protect our rights or prevent fraud, abuse or other unlawful activity.

6. International processing

Some of the service providers used by Scotland Stock may process information outside the United Kingdom.

Where personal information is transferred outside the UK, Scotland Stock will take reasonable steps to ensure that the transfer is carried out in accordance with applicable data protection law and that appropriate safeguards are in place where required.

7. How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, unless a longer period is required by law.

Purchase and transaction records may need to be retained for tax, accounting and legal purposes.

Customer email addresses and purchase information may also be retained where reasonably necessary to provide ongoing access to previously purchased footage, assist with future download requests, provide customer support or establish the details of a previous licence.

We do not retain personal information indefinitely simply because it has been collected. Information that is no longer required will be securely deleted or anonymised where reasonably practicable.

Depending on the circumstances, you may have rights under UK data protection law including the right to:

  • Ask for a copy of the personal information we hold about you.
